Holiday jobs
Students can apply for holiday jobs via a form on the hospital website. The application guides the students through the various steps and ensures that they are kept informed of the progress of their application.
Reduced working hours (6 different processes)
Hospital employees can apply via a portal to change their work schedule for specific reasons, such as time credit, parental leave, palliative leave, etc. The HR department manages the various steps, from approval to contract changes, and makes the necessary adjustments in the information systems.
Creating a new user
Process automation supports administration in the steps required when hiring new employees: creating user accounts, making modifications in the IT systems, notifying administrative services (e.g. badge management, telephone, training, communication).
Onboarding / offboarding
Workflower coordinates and monitors all tasks (administrative, IT, etc.) of the various departments when a new employee is hired, when a function or department changes, and when an employee leaves.
This process partly coincides with the process of creating a user (IT and administrative steps), but is broader. For example, it can also be used to manage the ordering of uniforms, and ensure that the communication department is informed. The Workflower process extends beyond the start phase: subsequent steps in the event of changes or termination of employment are also followed up.
Registration and follow-up of complaints about well-being at work
This application supports you to register and follow up on complaints about well-being at work.
A complaint can be submitted with a name or anonymously. A priority level is automatically assigned based on several criteria. Depending on the type of complaint, it is assigned to the appropriate person in the well-being team. This person can decide if further investigation is needed, or if the complaint can be closed.
The well-being team always has an overview of both open and closed cases, which can be filtered by priority level and by the person assigned to the case.
Onboarding of a new doctor
Workflower supports the administrative steps involved in the recruiting of new doctors: follow-up the collection of the necessary documents, verification of sources, registration of billing data, creation of user accounts, follow-up of e-learning, signing of contracts and accompanying documents, communication about the assignment, etc.
Specific actions are added to the process depending on the medical department in which the doctor will be working, for the organisation of the medical material the doctor needs, communication within the department, etc. Follow-up when a doctor leaves the hospital, as well as the follow-up of documents that expire and need to be renewed during the doctor’s tenure at the hospital, will soon be added.
Managing IFIC codes
Employees are assigned a job description (from a list of 218 jobs), together with a new proposal for remuneration. These functions are spread over 20 classifications, each with new wage scales. Workflower streamlines the communication to the employees, and informs the HR department of the employees’ decision of whether or not to enter into the system.
Requesting leave & training
This process manages holiday and training requests, including, for the latter, the option to evaluate the training.
Flu vaccination status follow-up
With Workflower, the hospital created a central platform to keep track of the flu vaccination status for all employees at its different sites. Employees’ personal data is retrieved from the doctors’ and personnel database using existing interfaces, and automatically entered in the registration form. A file with an overview of all vaccination data can be generated using the application’s reporting functionality. The data can then be imported into the hospital’s occupational health application.
