Sint-Lucas hospital in Ghent automates eBirth registrations

Maternity ward nurses are dedicated to giving new mothers and their new-born babies the best care. Part of this includes dealing with administrative tasks, such as updating the electronic patient record (EPR) and registering every birth within 24 hours via the eBirth web service of the Belgian eHealth platform. Midwives must enter the administrative and medical data for each new-born into the EPR, and then do it a second time in the eHealth platform.

But there is a solution to eliminate this repetition. AZ Sint-Lucas in Ghent – which is the second largest maternity hospital in Flanders, with more than 2,500 births a year – is using Workflower to automate the data registration process. The relevant data is now automatically transferred from the EPR to the eHealth- platform. The result? Midwives no longer need to enter the data twice, and have more time for patient care tasks. Built-in controls improve the accuracy of the forwarded data, as well.

How it works

  • The midwife registers the administrative and medical birth data in the EPR.
  • Based on the recorded data, Workflower generates a worklist: a well-organised screen displays all outstanding tasks, such as a birth registration that is still awaiting approval or that requires the modification of certain data.
  • Once the data has been approved, it is automatically transferred via Mirth to the Belgian government’s eHealth data platform.
  • When the birth has been correctly registered, the hospital receives a registration code. Workflower generates a task to print the notification form that the parents can use for the official birth declaration.
  • Controls and escalation mechanisms are built in throughout the registration process. If an error is detected in the registration data, or if the data transfer to eHealth is not completed, a new task is created in the worklist. For example, the ward receives a notification if a birth has not been correctly registered after 5 days, or if the medical data has not been sent to eHealth after 35 days.
