Proactive follow-up of stockouts in the hospital pharmacy, with Workflower

Stockbreuken ziekenhuisapotheek

Hospital pharmacies are increasingly confronted with shortages of medicines, sterile materials or implants. Managing these stockouts is time-consuming, placing a heavy burden on the team and reducing the overall efficiency of the pharmacy.

To minimise the disruption to both the pharmacy and the patient, the AZ Jan Palfijn Hospital in Ghent, in collaboration with Amaron, designed a Workflower application that complements the existing pharmacy software and supports efficient and proactive stockout management. AZ Sint-Lucas in Ghent has also implemented the application and is fully convinced of its benefits.

From manual Excel sheets to proactive monitoring

“Switching to this solution has made a world of difference for our hospital pharmacy. Previously, we worked with manual Excel lists. Now, the tool provides a single, central hub for all data, thanks to its seamless integration with the inventory management system,” says Kenny Noerens, Hospital Pharmacist at AZ Sint-Lucas in Ghent.

“The greatest impact comes from the shift from reactive to proactive working. Tasks are clearly listed and can be easily checked off. A smart system of triggers eliminates the need for pharmacists and pharmacy assistants to manually scan lists. Instead, the tool lets them know exactly where action is needed. They save significant time and gain much better predictability of their workday.”

“With the application, we can configure tasks flexibly, enabling us to plan work more effectively and align it with the needs and possibilities of the moment. As a result, we can deploy our resources more effectively.”
